Residency and Fellowship Program Credentialing Annual Report

Each credentialed program must submit an annual report. Annual reports will be due either on or before January 31. If annual reports are being mailed, they must be postmarked by January 31. Those programs undergoing recredentialing do not need to submit an annual report or annual fee in that same year.

Annual reports that are not postmarked/received by January 31 will receive via certified mail a written notice of delinquency and that their program's credentials have been suspended. If the annual report is not received within 30 calendar days following the date of receiving this letter, the program's credentials will be withdrawn.

The language and terminology in all reports to ABPTRFE should be consistent with the most recent version of APTA's Guide to Physical Therapist Practice. Programs are responsible to report substantive changes in the annual report including, but not limited to, change in program mission, goals, and objectives, faculty, number of students, location, resources, and program outcomes. programs are also responsible to report changes in contact information to the APTA Department of Postprofessional Certification and Credentialing.

Each annual report will be reviewed by one Credentialing Services Council liaison and two Annual Report Subcommittee members, one of which is a content expert in the area. Subcommittee and council members are supplied with copies of pertinent communication between APTA and the program for the year (e.g., requests for additional information at the site visit, requests for evidence, curriculum revisions reflecting a new DSP, etc).

The Credentialing Services Council/Annual Report Subcommittee will complete all annual report reviews by March 31. After reviewing an annual report, the assigned council member will make one of the following decisions:

  • Credentialed program is in continued compliance
  • Credentialed program appears to be in noncompliance, requiring further verification*

* The Annual Report Subcommittee, Credentialing Services Council and/or ABPTRFE will review information in a program's annual report. The council and/or ABPTRFE may seek verification or clarification of the annual report by way of written or oral request, and it may require a site visit.

If additional information/clarification is required from a program, that program will be notified by APTA staff via an electronic written notice. The program will have 30 calendar days from the date on this written notice to provide this information or the program's credentials will be suspended. The program will receive via certified mail written notification of this suspension and notified that if the information is not received within 10 calendar days, the program's credentials will be withdrawn.

The assigned Subcommittee and council members will have 30 calendar days from receipt of the program's additional materials to complete their review of these materials. The assigned council member at that time will make one of the following recommendations to ABPTRFE:

  • Credentialed program is in continued compliance
  • Credentialed program is in noncompliance and the credentials should be withdrawn

ABPTRFE will review all council recommendations at their next meeting (electronic vote, conference call, or in-person) and make the formal decision on a program's status. Following this meeting, the program will be provided with one of the following written notices:

  • Credentialed program is in continued compliance and their credentials are maintained
  • Credentialed program is in noncompliance and the credentials are withdrawn
