APTA CSM Event Space Requests

Would you like to host a reception or other event using available space at the upcoming APTA Combined Sections Meeting in San Diego, February 23-25, 2023? APTA provides that opportunity to association members.

Requirements and Process

  • The online portal is open to accept space requests. All requests must be approved by APTA. The deadline for submitting event requests is Friday, October 28, 2022 11:59 p.m. ET. See "Submitting Your Request’"section below for submission instructions.
  • Events may not include physical therapy-related educational or professional development content.
  • Event space is provided based on availability in our contracted venues, including the San Diego Convention Center (111 W Harbor Dr, San Diego, CA, 92101) and Hilton San Diego Bayfront (1 Park Blvd, San Diego, CA, 92101).
  • Space requests will be confirmed by Friday, November 11, 2022. If your space request is confirmed, a nonrefundable rental transaction fee will be charged via credit card. See the fee table below for refence. (This fee is in addition to any fees charged by the venue. No checks or purchase orders are accepted). APTA’s Member Events team will contact those with confirmed space and provide a quote for the rental costs and instructions for working directly with the host venue. Full payment instructions will be provided after you contact the hotel. Once payment has been received, the event will be approved and added to the APTA CSM programming list.

Submitting Your Request

All requests must be submitted by Friday, October 28, 2022. Your space request will be confirmed no later than Friday, November 11, 2022.

Follow these instructions to submit your request: 

Begin Your Request

Session Title: Enter the name of your event, along with comments, if necessary.

  • Decide if you want it to be posted to the APTA CSM events list on the website and app.
  • View rental costs for your event under Logistical Information.
  • Select Proposed Date, Proposed Start Time, and Proposed End Time.
  • Select your Estimated Seating Requirements and Meeting Room Setup.
  • Select if your event will need A/V and/or food and beverage.
  • Select your estimated A/V and/or food and beverage budget.
  • Click Save.

Search For a Person: Enter your first and last name or email address.

  • Click Search.

Search Results: Select yourself as the submitter name and click Select.

  • Note: If you do not see the submitter name you are looking for, go back to the previous page and confirm the information entered is correct. If entered information is correct, click Not Found, click Select on the Search Results page, and follow the instructions.

Add or Edit People: You should now see the submitter’s name listed. Click Proof and Submit. You can also add other names to this submission by selecting Add New Person.

Review and Submit: Please follow the instructions at the top of the page to complete the proofreading process and make edits, if necessary. Be sure to print a copy of your events for your records using the printer icon on the page.

  • Click Submit.

Your Event Submission Has Been Received: Congratulations!

APTA's Member Events staff will review the space request and will inform you if the space is approved, provide room location, and quote rental cost with instructions for making payment no later than Friday, Nov. 11, 2022.

  • If your event is unable to be accommodated at the San Diego Convention Center or the headquarters hotel (Hilton San Diego Bayfront) you will be provided with a listing of other hotels contracted with APTA that are all within one mile of the convention center. Once you have contacted and made arrangements with the hotel, the hotel contact has been instructed to reach out to Paxton Styles for approval. You will then receive payment instructions. Once payment has been received, the event will be approved and added to the APTA CSM programming list.
  • For events booked through this process at venues other than the San Diego Convention Center and Hilton San Diego Bayfront (bars, restaurants, etc.) provide Paxton Styles with location name, address, and event details. You will then receive payment instructions. Once payment is received the event will be added to the APTA CSM programming list.

Please note that audio visual, entertainment, and food and beverage costs are your responsibility. Venues do not allow outside food and beverage. Information and instructions on how to coordinate these details will be forthcoming once the rental cost payment is received.
